Job Overview:
We are seeking a professional, well-organized, and friendly Front Office Executive to be the first point of contact for our company. The ideal candidate will be responsible for managing the front desk, greeting and assisting visitors, handling phone calls, and performing general administrative duties to ensure the smooth operation of the office.
Key Responsibilities:
- Greet visitors, clients, and employees in a professional and friendly manner.
- Answer and direct incoming phone calls, emails, and other inquiries.
- Manage the front office area, ensuring it is clean, organized, and welcoming.
- Schedule and coordinate appointments, meetings, and conference room bookings.
- Handle incoming and outgoing mail and packages.
- Maintain and update office supplies, ensuring stock is replenished as needed.
- Assist with administrative tasks such as filing, data entry, and document management.
- Provide support to other departments as needed, including basic office and clerical tasks.
- Coordinate with vendors, service providers, and contractors.
- Assist in handling customer or client inquiries and concerns, providing timely resolutions.
- Ensure office security by following procedures and monitoring visitor access.
Qualifications:
- High school diploma or equivalent (Bachelor’s degree preferred).
- Proven experience in an administrative or front office role.
- Excellent verbal and written communication skills.
- Strong organizational and time-management skills.
- Ability to manage multiple tasks efficiently and work in a fast-paced environment.
- Professional demeanor with a friendly and approachable attitude.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
