Job Overview:
We are looking for a friendly, organized, and professional Receptionist to be the first point of contact for visitors and clients at our organization. The ideal candidate will be responsible for managing the front desk, answering calls, scheduling appointments, and providing administrative support to ensure the smooth running of day-to-day operations.
Key Responsibilities:
- Greet and welcome visitors in a professional and courteous manner.
- Answer and direct phone calls to the appropriate departments or individuals.
- Manage and schedule appointments, meetings, and conference room bookings.
- Maintain a clean and organized front desk area.
- Handle incoming and outgoing mail and packages.
- Provide information about the company, services, and directions as needed.
- Assist with administrative duties such as filing, data entry, and document management.
- Ensure that office supplies are stocked and organized.
- Manage visitor logbooks and issue visitor badges as necessary.
- Coordinate with other departments to facilitate smooth operations.
- Perform other clerical tasks as needed to support office staff and management.
Qualifications:
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
- Previous experience as a receptionist or in a customer-facing role is preferred.
- Excellent communication and interpersonal skills.
- Professional appearance and demeanor.
- Strong organizational skills and ability to multitask.
- Basic computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to handle confidential information with discretion.
